Automated Google Reviews

Automated Google Reviews for Cafes

Asking for reviews is awkward. Automation isn't, set the trigger once and the SMS goes out on its own. You do nothing. The reviews arrive.

Quick Answer

When a customer hits your chosen visit milestone (by default the 6th and 12th visit, configurable), My Cafe Loyalty automatically sends them an SMS with a link to a page offering two options: leave a Google review, or send private feedback to the cafe. Because it goes to people who already like your cafe, most are happy to leave a review. It's Google-compliant, no incentives, just a polite ask, and it runs in the background without staff involvement. Available on the Business plan ($169/month).

Why Most Cafes Have Fewer Reviews Than They Should

It's not that customers don't want to help, it's that no one asks at the right moment

Staff Forget During the Rush

Your 8am queue isn't the time for a review pitch. Staff have six things to do at once, and a Google review request lands at the bottom of the list.

Result: Sporadic requests, patchy results

Asking In-Person Feels Awkward

Verbally asking a customer to leave a review puts both of you on the spot. They say yes, walk out the door, and never do it.

Result: Good intentions, no reviews

Timing Is Everything

Ask on the 1st visit and it feels presumptuous. Wait until visit 10 and the moment has passed. There's a sweet spot, and it's hard to hit manually.

Result: Missed window, low conversion

What Happens Instead

No manual chasing, it just runs

It Happens Automatically

The SMS goes out the moment a customer hits your chosen milestone. No manual follow-up, no forgotten customers.

Result: Every eligible customer gets asked

SMS Gets Read

Most people read an SMS within minutes of receiving it. A one-tap link means leaving a review takes seconds, whenever they get around to it.

Result: High open rates, easy action

Timed for When It Counts

You're asking people who already like your cafe, which means higher conversion and better reviews.

Result: Reviews from your actual regulars

The Value Chain in Plain Terms

More reviews

Your regulars share their honest experience

Better ranking

Google Maps shows you higher in local search

More walk-ins

New customers find you before your competitors

How It Works

Takes about 5 minutes to set up. After that, it runs without you

1

Connect Your Google Business Profile

Go to Dashboard → Google Reviews → click "Connect Google Business Profile". It's read-only, we pull your review link and rating and never post on your behalf. Takes about 2 minutes.

What we access:

  • Your Google Business Profile name
  • Your current Google rating (so you can track progress)
  • Your Google review link (used for the review option on the request page)
2

Turn It On and Set Your Trigger

Toggle "Automated Review Requests" to ON. By default requests go out after the 6th and 12th visit, and you can change the milestones to whatever fits your cafe. Customize the SMS or use the default, both work well.

Default SMS template:

"Hi [Name], thanks for being a regular at [Cafe Name]! Would you mind leaving us a Google review? [Review Link]"

Tip: Keep it under 160 characters. Using their first name makes a difference.

3

Your Customer Gets the SMS

The SMS goes out the moment the trigger fires. They're in a good mood, they already like your cafe, and there's a tap-to-review link right there.

What happens on their end:

  • Gets an SMS, most people read it within a few minutes
  • Taps the link, lands on a page with two options: leave a Google review, or send private feedback
  • Leaves a review in under a minute
  • Review appears on your Google Business Profile
4

Watch the Numbers in Your Dashboard

Your Google Reviews dashboard shows what's working: requests sent, how many converted, and how your rating is trending. The before/after is right there.

What you'll see:

  • Review requests sent (last 30 days)
  • SMS-to-review conversion rate
  • New reviews this month vs last month
  • Your current Google rating (updated daily)

When Should You Ask?

There's no single right answer, but there are clearly wrong ones

1-5

Early Visits

Too soon for most cafes

They barely know you yet. Works if your first impression is genuinely exceptional, otherwise it reads as pushy.

6th

6th Visit (Default)

Sweet spot for most cafes

They've come back enough to mean it. They know your coffee, your staff, your vibe, a review from this person carries weight.

12th

12th Visit (Default)

A second ask for your most loyal regulars

They've been coming back for months. Catching this milestone too means you're not relying on a single ask to build your review count.

A practical starting point: our default is the 6th and 12th visit. Adjust it any time from your settings.

Common Questions

Is this actually allowed by Google?

Yes. Google's policy prohibits incentivized reviews. Offering something in exchange for a review is against their terms. But asking customers for feedback via SMS is explicitly allowed. We don't offer any incentive, don't tell customers what to say, and don't filter by sentiment before sending. It's the digital equivalent of asking "how was everything?", just consistent and automatic.

What triggers a review request?

Visit milestones. By default, requests go out after the 6th and 12th visit, once a customer has demonstrated real loyalty. You can change which milestones trigger a request from your dashboard settings if a different cadence suits your cafe better.

What if someone leaves a bad review?

Because you're only asking people who've been back multiple times, the risk is low. Someone unhappy enough to leave a negative review probably stopped coming back after visit one or two. If you do get a critical review, respond to it. Google rewards businesses that engage with feedback, and a thoughtful response often matters more to potential customers than the review itself.

Is it worth upgrading to Business for this?

That depends on how competitive your local search is. If you're in a suburb with 15 cafes, your Google Maps ranking directly affects walk-in traffic, and review count is one of the biggest factors. The Business plan at $169/month includes 400 SMS credits, so the review automation typically runs at no extra cost for most cafes. If you're already on Professional and you're getting decent foot traffic from Google, it's worth trying.

Can I edit the SMS message?

Yes. Go to Settings → Google Reviews to customize the template. The default message works well as a starting point: "Hi [Name], thanks for being a regular at [Cafe]! Would you mind leaving us a Google review? [link]" If you want to add your own voice, go for it. Just keep it under 160 characters so it sends as a single SMS.

Your regulars are already happy. They just need to be asked.

  • Automated SMS review requests triggered by visit milestone (default 6th and 12th visit, configurable)
  • 5-minute setup, connect your Google Business Profile and you're done
  • Customizable SMS template with your cafe's name and voice
  • Dashboard showing requests sent, conversion rate, and rating trend
  • Google-compliant, no incentivized reviews, no fake social proof

Google Reviews automation is available on the Business plan ($169/month). Start on any plan and upgrade when you're ready.
